Job Description

Position Overview:Usawa Wellness Services is seeking a compassionate and detail-oriented Receptionist to join our team on a part-time basis (approximately 7 hours per day, 4 days per week). This role is essential to ensuring a welcoming, professional, and organized experience for all clients. The ideal candidate will demonstrate strong communication skills, excellent organization, and a genuine commitment to supporting client well-being and maintaining confidentiality in a therapeutic environment.Key ResponsibilitiesClient Relations & Administrative SupportAnswer incoming phone calls, take messages, and return voicemails in a timely and professional manner.Schedule, confirm, and reschedule client appointments, including follow-up visits.Check clients in upon arrival and ensure a smooth front-desk experience.Respond to client inquiries and secure text messages with professionalism and care.Email and Calendar CoordinationMonitor and respond to business emails promptly and professionally.Maintain and update the business contact database and scheduling systems.Office HousekeepingMaintain a clean and organized office environment (sweeping, dusting, vacuuming as needed).Required Skills and QualificationsStrong verbal and written communication skills with a client-centered approach.Excellent organizational and time management abilities.Ability to work independently while being receptive to supervision and feedback.Understanding of HIPAA laws and a firm commitment to confidentiality and compliance.Must complete HIPAA training upon hire (and maintain certification as required).Strong problem-solving skills and adaptability in a dynamic work environment.Proficiency in office management systems and PDF software.Must pass a clean background check.Preferred AttributesExperience in a behavioral health or medical office setting.Familiarity with EHR systems.Compassionate, professional demeanor with strong attention to detail.
